Information Collection and Use
When you register to use the Platform, you provide personal information to set up your account, such as: your name, email address, birthdate, phone number(s), title, optional photo, and contact address. If you are a corporate agent or agency (rather than an individual), you may also provide company information, such as: your company name, logo, website url, company registration documents, and number of units managed. All of this information is referred to as your "Account Information".
Tenants who submit a rental application for a unit may also be redirected from our Platform to the site of a secured third-party payment service provider to provide personal information, such as debit/credit card information, to pay for their rental units as and when due. Neither RealtyProx nor the Listing Parties have access to the information you provide to the third-party payment service provider (notably your debit/credit card information) nor does RealtyProx store this information on our servers.
If you choose to use the direct debit features, need to receive payment through the Platform as an Listing Party, and/or need to receive refunds for any payment or services done through the Platform; you will provide personal information required for RealtyProx to process the payment request, such as: your bank name, bank routing number, account number, and account holder's name. This information is referred to as your "Banking Information". RealtyProx will store your Banking Information on secure servers unless you ask us to delete your Banking Information by contacting us at [email protected]
We also collect "Non-Identifying Information" about you, which includes Aggregate Information, Public Information, and Usage Details. This is information that cannot reasonably be used to contact or identify you unless it is coupled with other information. We may aggregate non-personal statistical information that does not individually identify you, such as information concerning gender, location or average rent ("Aggregate Information"). We collect this information directly, such as when you register and indirectly, such as when you use the Platform or through our third-party service providers. The Aggregate Information we collect is pooled together to help us improve our Platform and to deliver a better and more personalized service by enabling us to estimate our audience size and usage patterns; store information about your preferences, allowing us to customize our Platform according to your individual preferences; speed up your searches; and recognize you when you return to our Platform.
You also may provide us with information that you ask us to make public by publishing or displaying the information on public areas of the Platform or by sharing with third-party sites ("Public Information"). This includes information such as comments on the Platform's blog or information about a unit that you list on the Platform for rental promotion, including unit information such as: unit type, building name, street name and cross street, address, package delivery, amenities, rent amount, security deposit amount, and optional photos.
Finally, we collect non-personal statistical information about your internet connection, the equipment that you use to access our Platform and how you use our Platform ("Usage Details"). This information is then pooled to allow us to optimize the Platform to the internet connections and equipment that is used to access the Platform. We collect this information both directly from you when you provide it to us and automatically as you navigate through and interact with our Platform, (i) including details of your visits to the Platform, including traffic data, location data, logs and other communication data and the resources that you access and use on the Platform and (ii) information about your computer and internet connection, including your IP address, operating system and browser type. The technologies we use for this automatic data collection may include:
Pixel Tags / Web Beacons. Pages of our Platform and our e-mails may contain small electronic files known as web beacons (also referred to as clear gifs. pixel tags and single-pixel gifs) that permit us, for example, to count users who have visited those pages or opened an e-mail and for other related website statistics (for example, recording the popularity of certain website content and verifying system and server integrity).
If we ever couple Non-Identifying Information with your Personal Information, the resulting information will become Personal Information.
Third-party Service Providers
We may disclose Aggregate Information and Usage Details about our users, and information that does not identify any individual, without restriction.
Public Information, such as your blog comments or unit information you would like us to promote to potential tenants, is information you ask us to broadcast publicly. We will only share this information with your express consent. Once your Public Information has been shared with the public, it may be searchable by search engines and be delivered to a wide range of users and services. When you share Public Information via the Services, you should think carefully about what you are making public.
We do not disclose your Personal Information except in the limited circumstances described here:
Your Consent: We may share or disclose your Personal Information at your direction in connection with your use of the Platform. For instance, (1) when a Tenant asks us to provide the Tenant Application Information to Listing Parties in order to evaluate a rental application, (2) when you ask us to provide reciprocal contact information for Tenants and Listing Parties who are preparing to enter into a lease or who have entered into a lease, (3) when a Tenant and Listing Party ask us to exchange information in order to facilitate the negotiation of a lease, (4) when a Tenant makes an payment to Listing Party via the Platform and (5) when a Tenant makes or a Listing Party responds to a maintenance request via the Platform.
Service Providers: We may share or disclose your Personal Information to contractors, service providers and other third parties we use to support our business and who are bound by contractual obligations to keep Personal Information confidential and use it only for the purposes for which we disclose it to them.
Business Transfers: In the event that RealtyProx is involved in a merger, divestiture, restructuring, reorganization, dissolution or other sale or transfer of some or all of our assets, whether as a going concern or as part of bankruptcy, liquidation or similar proceeding, your Personal Information held by RealtyProx may be among the assets transferred.
We strive to provide you with choices regarding the Personal Information you provide to us. We have created mechanisms to provide you with the following control over your information:
Email Communications. If you do not wish to have your e-mail address/contact information used by RealtyProx to promote our own or third parties' products or services, you can choose not to provide your e-mail address or you can opt-out by unsubscribing to the newsletter. This opt-out does not apply to information provided to RealtyProx as a result of a product purchase, warranty registration, product service experience or other transactions.
Accessing and Correcting Your Information
You may send us an e-mail at [email protected] to request access to, correct or delete any Personal Information that you have provided to us. We may not accommodate a request to change information if we believe the change would violate any law or legal requirement or cause the information to be incorrect.
You may request that RealtyProx delete your account by contacting us at [email protected]. This request will only delete your personal account and Account Information. RealtyProx will not delete information that relates to you that is on another User's account (for instance, a signed lease to which you are a party). If you believe information that relates you to on another User's account is inaccurate, contact us at [email protected]
We recognize that you are providing sensitive information in connection with your use of the Platform and that security is critical to our Services. As such, we take security precautions, and will continue to vigilantly safeguard your sensitive Personal Information. We update our security software with the latest patches frequently. Our servers are maintained by a reputable third-party service provider and housed in a secured facility. We separate the application server (servers that you interact with) and the database servers (servers that store our data). This ensures that users of the Platform cannot directly interact with the database. Additionally, our servers are accessible only with a specific RSA key. We encrypt sensitive information, such as bank numbers, routing numbers, employment history and income sources, and all passwords using 256-bit encryption technology.
Children Under the Age of 16
Our Platform is not intended for children under 16 years of age. No one under age 16 may provide any Personal Information on the Platform. We do not knowingly collect Personal Information from children under 16. If you are under 16, do not use or provide any information on this Platform or on or through any of the Services on the Platform. If we learn we have collected or received Personal Information from a child under 16 without verification of parental consent, we will delete that information. Notification of Copyright Infringement
RealtyProx Limited ("RealtyProx" or "we" or "us") respects the intellectual property rights of others and expects all Members using the RealtyProx Platform to do the same.
It is RealtyProx's policy, in appropriate circumstances and at its discretion, to disable and/or terminate the account or access of users who repeatedly infringe or are repeatedly charged with infringing the copyrights or other intellectual property rights of others.
In accordance with established copyright laws within the jurisdictions we operate, RealtyProx will respond expeditiously to claims of copyright infringement committed using the RealtyProx Platform that are reported to RealtyProx at [email protected]
If you are a copyright owner, or are authorized to act on behalf of one, or authorized to act under any exclusive right under copyright, please report alleged copyright infringements taking place on or through the RealtyProx Platform by sending a notice of copyright infringement to [email protected]
RealtyProx's Extortion Policy
Reviews are a way for RealtyProx Members to share their experiences with other members of the RealtyProx community. Any attempt to use reviews or review responses to force a user to do something they are not obligated to do is a misuse of reviews, and we don't allow it.
This policy applies to situations including, but not limited to:
- Members threatening to use reviews or ratings in an attempt to force another Member to provide refunds, additional compensation, or a reciprocal positive review.
- Members requiring another Member to leave a positive review or rating, or to revise a review in exchange for a partial or full refund, or reciprocal review.
- Members offering a free or discounted service in exchange for another Member revising an existing review.
- Members asking another Member to take specific actions related to a review in exchange for a resolution to a dispute between the parties.
This policy does not prohibit:
- A Member from contacting another Member with respect to a problem/issue prior to leaving a review.
- A Member from asking another Member to leave an honest positive review or rating reflecting a positive experience.
- A Member from revising a review within the period allowed for revision.
Members cannot edit reviews after they are published.
By posting a review, you agree to follow all RealtyProx guidelines and policies, including this Extortion Policy, which RealtyProx may enforce at our sole discretion. Failure to do so may result in the restriction, suspension or termination of your RealtyProx account.

Payment Processing & Payment Terms
RealtyProx supports online payment for all transactions between Members on the RealtyProx Platform. Using the RealtyProx online payment features protects Members and ensures they receive value for the payment made – for instance, when a Tenant pays for rent through RealtyProx, we hold the payment in escrow until the Tenant confirms receipt of key from Listing Party or until the expiration of forty-eight (48) hours in order to ensure the Tenant gets value for the rent payment.
Tenants may initiate online payments manually as and when due using the appropriate feature on RealtyProx. On the other hand, Tenants may setup recurring payment using direct debit features provided by RealtyProx. To enable the recurring payment, Tenant will be required to enter bank information and authorize the direct debit on RealtyProx. RealtyProx will save Tenant bank account information on secure servers unless Tenant requests that RealtyProx delete such information by contacting [email protected]
RealtyProx payments also allows online payments to be made through bank transfers to designated RealtyProx collection accounts where Members are unable to complete a payment directly using RealtyProx's online payment features. Such payments are processed in similar ways to those outlined for the online payments above. The payments may however be delayed by an additional twenty-four (24) hours over the timelines stated for online payments above.
If a recurring payment is rejected for None Sufficient Funds (NSF), RealtyProx will notify the Member to fund the account and will retry the payments at least twice every day for three (3) days. RealtyProx may charge the Member whose payment failed a NSF fee as may apply to such transactions by the payment service providers and the particular bank's fees schedule. Members hereby authorize RealtyProx to charge their account for such NSF fees along with any payment that is due.
RealtyProx IS NOT A COLLECTION COMPANY AND IN NO WAY GUARANTEES PAYMENT BY A MEMBER TO ANOTHER MEMBER NOR DOES IT INHERIT THE RISK ASSUMED BY ANY PARTY IN RELATION TO ANY TRANSACTION PERFORMED THROUGH THE PLATFORM EXCEPT AS HAS BEEN EXPRESSLY STATED IN THE AGREEMENT.
Payment Cancellation; Refund Policy.
For payments you believe were improperly made, RealtyProx may, in its sole discretion, void, rescind, or issue a credit for your Tenant Payment made through the Platform at any time prior to the remittance of such Tenant Payment to the Listing Party. If a payment dispute arises after payment is forwarded to the Listing Party, the responsibility to settle the dispute rests with you and the Listing Party.
RealtyProx Platform Fee
To help operate the RealtyProx platform sustainably, we charge Platform fees (also referred to as “service fees”) to Members for the transactions carried out on the Platform. The different types of Platform fees are listed below:
Fees charged to Landlords
Rent Collection Fee
The Rent Collection fee for property units that are rented through RealtyProx is generally 2.5% of the rental transaction total. This fee is calculated on the rental transaction total (rental amount plus service charge) and is automatically deducted from the pay out to the Landlord. Agency Fee For Listings made directly by a Landlord, without using an Agent/Agency, RealtyProx charges an agency fee of 5% of the rental amount and this amount is deducted from the pay out to the Landlord. RealtyProx waives its Agency Fee where a Landlord nominates an Agent/Agency to manage its property(ies) on RealtyProx.
Fees charged to Agents/Agencies/Lawyers
Agent/Agency Collection Fee
The Agent/Agency Collection fee for property units that are listed and rented by an Agent through RealtyProx is generally 25% of the agent/agency commission on the listing (typically, this would work out to 2.5% of the rental amount based on the standard rate of 10% for agent/agency commission). This fee is automatically deducted from the pay out to the Agent/Agency.
Legal Collection Fee
The Legal Collection fee for property units that are rented through RealtyProx is generally 25% of the legal charge on the executed agreement (typically, this would work out to 2.5% of the rental amount based on the standard rate of 10% for legal charge). This fee is automatically deducted from the pay out to the Legal Practitioner/Lawyer attesting to the agreement.
Fees charged to Professionals
Professional Agency Fee
The Professional Agency fee for all tasks/jobs/engagements accepted by a professional through RealtyProx is generally 10% of the professional service charge. This fee is automatically deducted from the pay out to the Professional.
Security Deposit Management Fees
Managed by RealtyProx if there are no claims against it by the Listing Party at the end of the tenancy. RealtyProx charges a fee equal to the higher of (a) 10% management fee on the Security Deposit or (b) 50% of the accumulated return on investment on the Security Deposit (we invest the security deposit in safe/low-risk investments where tenancy is at least one year).
If RealtyProx is required to collect VAT (Value Added Tax), the platform fee and VAT amounts will be an additional charge separate from the Platform fees. This would be properly reflected on the receipts/checkout page of the Platform, wherever applicable.
RealtyProx is a very ethical organization and will not charge you outside of the advertised Platform fees and/or any applicable Government Taxes. You can always check the charges applied to your transactions on the receipt issued by the Platform. You can also check your transactions on Transaction history page on www.RealtyProx.co.
